Here we look at some things to consider if your IT requirements are more complex:
Wired or Wireless – Wireless networks give you the freedom to move around, but wired networks are much faster. Where there is a lot of data being moved around (for example video files or large images), it may be better to implement a wired solution. Hybrid networks (wired and wireless) can work for many with complex needs, wireless access points for the ‘movers’, wired points for the ‘stayers’.
Internet Speed – Internet speed needs can depend on online data needs and the applications installed and used. It’s a good idea to consider the applications you are using, if you are using basic email and web and your files are local (on the PCs or a NAS), then you may need less bandwidth. You may however need a more complex network with more users and a combination of local storage and cloud applications and storage. This will may mean an internet connection with more bandwidth will be a better option.
Cloud Computing – Again depends on the applications used and the size of files being created or accessed. A business with large amounts of data and bigger files should consider at least the main data storage being located on the local network as well as some online storage. Cloud based applications are now commonplace and should be considered for many of the traditional ‘local’ applications, especially where users are mobile.
Server and Storage – As mentioned above, more complex systems should consider at least some storage on the local network. This option, again depends completely on the type and size of the files.
Home Workers – A secure homeworker environment normally needs an authentication method. This means a way to make sure the person accessing the corporate files is genuine. This can be achieved on a local authentication server or domain controller. This could be combined with some cloud storage and applications for ease of use. Software Needed – Basic needs are Office365, which includes a very good range of software such as Word, Excel, Outlook. Also look at safe browsers such as Chrome and communications via Skype or Zoom. GoToOffice or WhatsApp for communications and Sage online or FreeAgent for accounting. You may also want to look at CRM, ERP help to manage clients and relations outside the company andTeams or Notion for collaboration and version control. There are a variety of applications to manage social media, email campaigns, automation. As you can see there are many options, the key is to analyse your business processes and use the right tool for the job.
Computers Needed – Based mainly on flexibility, if the users are going to be working remotely or from different locations, laptops or tablets should be considered. If users are not mobile, a purely static PC is more than sufficient. Specification depends on work requirements, the more complex the software the more RAM and processing power needed.
Communications – there are many options these days to speak to clients, many (such as WhatsApp) are available on mobile, tablet and computer making it easy to communicate wherever you are. Consider also VOIP which allows the user to make voice calls from anywhere that has an internet connection, mobile, computer, tablet.
Collaboration – often a necessity whatever the size or complexity of the company. Collaboration gives 2 or more users the opportunity to work on the same projects and files with little risk of losing data due to the version control aspect. There are many collaboration platforms, like Teams or Notion, depends on the task in hand as to the best solution.
Training – smaller companies tend to have wider needs for each user, larger more defined needs for each user. For companies with more basic needs, consider a package of several skills at a less comprehensive level.
